JOB DESCRIPTION:  Degree Audit and Transfer Analyst

DEPARTMENT:   Registrar (includes Registrar and Registration offices)

REPORTS TO:  Associate Registrar

OFFICE LOCATION:  Registrar/Registration Offices: DS123, 120

POSITIONS REPORTING TO ABOVE TITLE:  None

 

MINIMUM QUALIFICATIONS:

  1. Baccalaureate degree in related field. 1-2 years of experience in higher education or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

  2. Experience or training that demonstrates strong organizational skills.
  3. Must possess strong computer skills, including the ability to operate a complex student information systems or similar types of Enterprise Resource Planning software (ERP), as well as other common office software such as Word and Excel.
  4. Attention to detail and ability to follow through independently are essential. Effective critical thinking abilities are vital.
  5. Ability to research and retain information, analyze problems, and determine solutions while adhering to policies and procedures. 
  6. Strong oral and written communication skills for concise, friendly, tactful and effective communication.
  7. Must abide by Family Educational Rights and Privacy Act (FERPA) regulations, able to exercise a high level of confidentiality in regard to student records.

PERFERRED QUALIFICATIONS:

  1. Experience in an educational environment, particularly in Registrar or Academic Advisement in a college/university setting, is highly preferred.
  2. Knowledge, experience with student information systems (SIS). Ellucian Colleague preferred or others such as Ellucian Banner, Oracle/PeopleSoft...
  3. Knowledge or interest in process improvement.  Experience in process improvement tools such as Six Sigma, DRIVE or other examples
  4. Knowledge and experience system functional testing and/or creating functional process documentation

TERMS OF EMPLOYEMENT:

Full time, salaried administrative staff appointment which may require additional working hours as necessary. 

 

SUMMARY OF RESPONSIBLITIES:

The Degree Audit and Transfer Analyst works as a member of a team of individuals who assist faculty advisors and their students through the student's pursuit of studies towards completion of a degree, and/or certificate and/or academic minor offered by Daemen College. Responsible for the evaluation of transfer studies for prospective and continuing students.  Assists Registrar in the coordination of the transfer credit process.  As needed maintains and updates information on the departmental web site; completes additional projects at the direction of the Registrar and administrative office personnel.

 

They will assist and support process improvement, testing and documentation of in house procedures, particularly in areas of direct support such as transfer credit evaluation process and other related Registrar processes.

 

SPECIFIC RESPONSIBILITES:

  1. Assist and support process improvement, testing and documentation of in house procedures, particularly in areas of direct support such as graduation, transcripts, program audits, articulation and other related Registrar processes.
  2. Coordinate the transfer credit process.
  3. Monitor assigned students' progress on completion of degree and certificate programs utilizing degree audits.  This includes: review and modification of program evaluations to reflect the addition of programs (majors, minors, certifications); implement course/requirement waivers; correspond and/or meet with students, faculty and others, to discuss/advise/resolve issues as they relate to program requirements, progress, and evaluation; notification to student and advisor, of status on program completion; clearance for graduation/certificate completion.
  4. Review and evaluate transcripts for prospective incoming first year/transfer and current students.
  5. Assist in maintaining course equivalency designations by consulting with Department Chairs, including courses taken at other institutions, and via examination (AP, CLEP, DANTES, REGENTS, etc).
  6. Create/Update course equivalencies in student system (Ellucian's Colleague).
  7. Create/Update program audits; major, minors, specializations in student system (Ellucian's Colleague).
  8. Coordinate the review, improvement and quality control of our transfer credit intake and evaluation process.
  9. Maintain, update, edit, revise Registrar's office website as needed.
  10. Support Student Orientation efforts; specifically preparations and issues relative to first year and transfer students in regards to records and registration information and access. 
  11. Support New Faculty and New Adjunct Orientation efforts; particularly in regards to records and registration information and access. 
  12. Assist with Commencement Ceremony prep and day of tasks.
  13. Assist with National Collegiate Athletic Association (NCAA) certification process.
  14. Active member of designated institutional committees.
  15. Completion of additional departmental projects/endeavors as directed by the Registrar and Associate Registrar.
